Terms of Service

1. Service description

Hire Doris is a SaaS recruitment platform powered by artificial intelligence. The service is operated by LooneyDevs Limited, a company incorporated in New Zealand. By using the platform you accept these terms in their entirety.

2. Parties and definitions

• Operator: LooneyDevs Limited (New Zealand), which provides the platform under the Hire Doris brand
• Customer: the organization that contracts the service and acts as data controller for its own selection processes
• Users: natural persons (recruiters, HR managers, administrators) who access the platform on behalf of the Customer
• Candidates: persons whose data the Customer processes through the platform; they are not a party to these terms and their data-protection rights are governed by the Privacy Policy

3. Account eligibility

To use the service you must be of legal age in your jurisdiction of residence and represent a legitimately registered organization. You are responsible for the accuracy of registration data and for the authorized use of your credentials.

4. Acceptable use

The following are prohibited and constitute a material breach of these terms:

• Uploading CVs or candidate data without the candidate's informed consent
• Scraping, automated mining, or bulk data extraction from the platform
• Using the service to discriminate against candidates based on sex, race, age, religion, sexual orientation, disability, or any other characteristic protected by applicable law
• Circumventing, attempting to circumvent, or helping others circumvent the technical, plan-tier, or security limits of the service
• Reverse-engineering, decompiling, or extracting prompts, models, or proprietary logic from the service

5. Intellectual property

Hire Doris, its code, its brand, its configured AI models, and the documentation are the exclusive property of LooneyDevs Limited. The data your organization uploads (CVs, job postings, interviews) remains yours; you grant us a limited license to process it solely to provide the service you contracted.

6. Confidentiality

All non-public information exchanged between the parties in connection with the service (business plans, commercial terms, technical details) is confidential. Candidate data is confidential: we never share it with other customers or with third parties beyond the sub-processors listed in the Privacy Policy, and each organization's data is strictly isolated from every other organization on the platform. Confidentiality obligations survive termination of the contract.

7. Subscriptions and payments

Paid plans are subscriptions with monthly or annual billing, paid in advance through our payment provider Stripe; we do not store card numbers. Subscriptions renew automatically at the end of each period unless cancelled. Plan upgrades take effect immediately with a prorated charge; downgrades take effect at the end of the current billing period and never revoke capacity already in use. One-time credit packs are charged at purchase and do not renew. Current plans, limits, and prices are listed on the pricing page. Non-payment may lead to suspension under section 11. Prices exclude applicable taxes (GST/VAT) unless stated otherwise.

8. Price changes

We may change subscription prices with at least 30 days' notice by email to the organization's admin account. The new price applies from the first billing period after the notice period ends. If you do not accept the new price, you may cancel before it takes effect and your subscription will continue until the end of the already-paid period.

9. Disclaimer of warranties

The service is provided "as is" and "as available". Scores, evaluations, and recommendations generated by AI are advisory and do NOT constitute a hiring decision. The final hiring decision is the sole responsibility of the human recruiter. Hire Doris does not guarantee that the service is free from errors, bias, or interruptions.

10. Limitation of liability

To the maximum extent permitted by applicable law, LooneyDevs Limited will not be liable for indirect, consequential, incidental, lost-profit, lost-data, or reputational damages arising from use of the service. Total aggregate liability is limited to the amount paid by the customer in the 12 months preceding the event giving rise to the claim.

11. Termination

Either party may terminate the contract with 30 days' written notice. Hire Doris may suspend or terminate accounts immediately and without refund if it detects prohibited use under section 4, non-payment, or violation of applicable law. Upon termination, you will export your data within 30 days; after that period it will be deleted in accordance with our retention policy.

12. Governing law and jurisdiction

These terms are governed by the laws of New Zealand. Any dispute that cannot be resolved in good faith will be submitted to the exclusive jurisdiction of the courts of Auckland, New Zealand. This clause does not affect mandatory consumer rights or the candidate's data-protection rights under applicable local law (GDPR, etc.).

13. Changes to terms

We will give at least 30 days' advance notice of material changes by email to the organization's admin account. Continued use of the service after the effective date implies acceptance of the modified terms. If you do not accept the changes, you may terminate the contract without penalty before the effective date.
